The Project Portal document management system is designed for managing and archiving files and the information (metadata) related to them. In Project Portal, information is stored on four levels: workspaces, folders, documents, and files. Each level is contained within the next higher level.
To view Project Portal folders, documents, and files, you access Project Portal through a web browser. Most of the popular web browsers can be used. For the list of supported browsers and other system requirements, see BlueCielo Project Portal 2015 Supported Software.
Note Project Portal does not support the Back and Forward functions of the browser. Avoid using them when browsing in Project Portal. Also, browsing in multiple windows may have undesired side effects.
A workspace is the top-level information container. Each workspace is unique in the system, therefore the folder structures, document properties, access rights, and so on in each workspace are different.
Folders are used to organize information within a workspace. Folders may contain subfolders and documents. Folders can have different properties, such as types (workspaces, parts, and so on) or statuses (In Work, Released).
Documents reside in folders. Depending on their purpose, documents can be of different types (for example Contract, Proposal, Claim, Task, Event, Report), and they always have a certain status (In Work, Released) or have a relevance (Private, Public). Documents always contain general properties, such as Author, Document Number, Created on, and so on. Documents can also have customizable properties, such as Contract, Value, Due Date. Additionally, documents may have attached files, links to web pages, and links to subdocuments.
Files are attached to documents. Several files of any type and virtually any size can be attached to a document. Document properties apply to all files attached to the document. The only way to give two different sets of properties (for example access rights) to two different files is to put them in two different documents.
